Privacy Notice – How Your Information Is Used

We collect and hold contact data you have provided for the sole purpose of contacting those who have given details to invite them to forthcoming Happy Stampers Festivals and/or to deal with related queries.  No marketing is involved. We ensure that the data is kept confidential, though we may disclose personal information if it is required by law.

Any person can choose to withdraw their consent to their data being used in this way or may ask for the data to be removed by making their decision known - please see the Getting In Touch page of the website for ways of making contact.

Happy Stampers Festivals shares personal information with a mailing services provider called Docmail so that they can print and despatch on our behalf some of our correspondence relating to the Festivals. This business is governed by a legally binding contract and is fully compliant with GDPR.

GDPR allows outsourcing to take place but stipulates certain conditions that must be met for it to be compliant. An organisation that processes personal data is required to handle it in accordance with the data protection principles.

Docmail is provided by CFH Docmail Limited, a secure print and mailing company, which delivers its services to major Organisations and Authorities throughout the UK.

The system can be found online at www.docmail.co.uk and requires a secure User Name and password for us to log on, via a secure web portal, and upload our letters and address lists to create the printed output for despatch.

The data file provided to Docmail will only contain enough data to enable them to fulfil the contract and to pre-fill contact details on the included form ready for your use should you so wish. This means that the data will include name, address and telephone details.

The letters will be delivered to your address using postal services in the normal way.
